The biggest paperwork time-wasters
- Faded receipts found in the ute weeks later.
- Invoicing in a big batch at the end of the month (and getting paid late).
- Typing the same job details into three places.
- Working out hours from memory at the end of the week.
The fix: capture it on the spot
- Photograph every receipt at the counter, before it leaves your hand. Xero, MYOB and most accounting apps let you snap receipts straight in.
- Invoice from the job, on your phone, the day it's done.
- Record hours as you go — a quick voice note or a job app timer.
- Once a week, spend 30 minutes matching it all up. That's it.
Where AI fits in
- Turn a messy voice note into a tidy invoice description.
- Pull totals, dates and suppliers out of a pile of receipt photos into a simple table to check against your bank.
- Summarise a long supplier statement or contract in plain English.
- Draft a letter to a customer or council so you're not staring at a blank page.
Job sheets, variations and H&S forms
- Job sheets: record a 60-second voice note before leaving site and let AI turn it into work done, materials, hours and follow-ups — ready to invoice.
- Variations: write the change, reason, cost and time down and get written approval before starting. AI can draft the notice from your bullet points.
- Weekly progress emails: five bullets in, a friendly client update out.
- H&S paperwork (SWMS, JSA, toolbox talks): AI can give you a first draft, but you must check it against WorkSafe NZ or Safe Work Australia guidance and walk it through with your crew.
What AI should NOT do
- Don't let AI file your GST/BAS return or make tax decisions — check with your accountant.
- Always check AI-extracted numbers against the actual receipt or bank line.
- Don't paste bank logins, IRD/TFN numbers or full customer details into AI tools.
Weekly desk-time checklist (30–45 minutes)
- All receipts photographed and in your accounting app.
- Every finished job invoiced.
- Bank transactions reconciled.
- Overdue invoices checked (reminders should be doing the chasing).
- Hours and timesheets totalled.
- Next week's admin block booked in your calendar.
