Job scheduling and day planning with AI

If you run the diary yourself, scheduling can eat an hour a night: juggling call-backs, quotes to visit, suppliers and the school run. A shared calendar plus a bit of AI can turn that into a 10-minute job, so you get more paid hours on site.

Where the time goes

  • Rewriting the plan every time a customer reschedules.
  • Zig-zagging across town because jobs were booked in the order people rang.
  • Forgetting materials, so you lose an hour at the merchant.
  • Texting customers one by one to confirm times.

The simple setup most small crews need

  • One calendar everyone can see — Google Calendar or Outlook on your phone is fine to start with.
  • Every job as a calendar entry with suburb, job type, a rough duration and materials in the notes.
  • An AI assistant (ChatGPT, Claude or Gemini) to sort the list into a sensible day and write the confirmation texts.
  • Later, if you outgrow the calendar, a job management app such as Tradify, Fergus, ServiceM8 or Jobber.

How AI helps you plan

  • Paste tomorrow's jobs (suburb, length, any fixed times) and ask it to put them in a sensible driving order.
  • Ask it to build in travel time, smoko and a buffer for the job that always runs over.
  • Get a materials checklist for each job, grouped by merchant.
  • Have it draft a short confirmation text for each customer — you send them.

Calendar rules that save hours

  • Group jobs by area: e.g. North Shore Mondays, West Tuesdays.
  • Book quotes and site visits in one block, not scattered through the week.
  • Leave one 'catch-up' slot each day for emergencies and overruns.
  • Offer a booking link (Google Calendar appointment schedules or Calendly) for quote visits so customers pick a time without phone tag.
  • Set up recurring jobs or a due list for servicing customers so repeat work books itself.
  • Block admin time on the calendar (30 minutes, twice a week) so it doesn't spill into evenings.
  • Colour-code: green = booked job, yellow = quote visit, red = must-not-move.

When to move to a job management app

  • You have more than one or two workers to schedule.
  • You're re-typing the same job details into calendar, quote and invoice.
  • You want customers to get automatic 'on my way' texts.
  • Tradify, Fergus, ServiceM8 and Jobber all cover scheduling, quotes and invoices. Check current features and integrations, and if there's a trial, test it with real jobs for a fortnight before deciding.

Daily planning checklist

  • Tomorrow's jobs all have a time, suburb and duration.
  • Drive order makes sense — no crossing town twice.
  • Materials ordered or on the ute.
  • Customers have had a confirmation text.
  • One buffer slot left free.
