Tutorial 38 · 8 min read · For sole traders and small crews who do some of their own books in Xero, or pay a bookkeeper and wonder if AI could cut that bill.
Can AI do my bookkeeping? Some of it. Here's which bits, and what's still your job
Short answer: AI can now do some of the boring bits of bookkeeping, like matching bank lines and sending payment reminders. It can't take responsibility for your books. The law still says the records are yours to keep, and someone still has to check the GST before it goes to Inland Revenue or the ATO. This page shows which jobs you can hand to AI today, which you can't, and how to check its work in 15 minutes a week.
We're not paid by Xero or anyone else on this page, and there are no affiliate links. We mostly talk about Xero because that's what most tradies we hear from use. MYOB users: check what MYOB offers on its own site before you rely on anything here. See also Xero, MYOB and paperwork problems.
What you'll need
- Your accounting app login
- 15 minutes a week
- Your accountant's or bookkeeper's phone number
⚠️ WHICH BOOKKEEPING JOBS AI CAN DO (CHECKED 26 OCT 2026)
- Match bank lines to invoices, bills and expenses: Partly. In Xero, JAX (Just Ask Xero) can reconcile new bank lines it's highly confident about. The ones it isn't sure about are left for you. It only looks at new lines, not old ones, and you turn it on per bank account. Included on Grow and above. On Ignite it's a paid add-on Xero calls AI Automate. See Xero JAX auto-reconcile.
- Chase people who haven't paid: Yes, on autopilot. These are scheduled emails, not AI. Xero sends up to five reminders before or after the due date. See Turn on invoice reminders in Xero. AI can help you word them.
- Answer "who owes me?" or "what's my cash position?": Yes, read-only. Xero says its connector in Claude answers plain-English questions and can't change your books. Check with Xero which plans and regions it works on.
- Turn a pile of receipts into a tidy list: Yes, as a helper. A chat AI can read receipt photos into a table for you to check. See receipts to records.
- Code GST correctly on every line: Not reliably on its own. You can change the account code and tax rate on anything JAX reconciled. That's there because it can get them wrong. Our advice: check GST lines weekly.
- File your GST return or BAS: No. Not on its own. You, your accountant or (in AU) a registered agent lodges it. We found no official claim that an NZ or AU app lodges returns using AI, so check with your accountant.
- Give tax advice or take responsibility: No. The ATO tells businesses to ask their registered tax or BAS agent.
The quick answer, job by job
Here's the honest list. 'Yes' means a tool can do it today. It doesn't mean you can stop checking.
Tip: Think of AI as a keen apprentice in the office. Quick, and useful, but you check its work before anything goes to the tax department.
What "AI bookkeeping" actually looks like in Xero
Sources: Xero Central, How to use automatic bank reconciliation (opens in a new tab) and Set up invoice reminders (opens in a new tab); Xero, Automated bank reconciliation (opens in a new tab) (AU (opens in a new tab)), View or change your pricing plan (AU) (opens in a new tab) and Claude with Xero (opens in a new tab). Checked 26 Oct 2026.
- Auto-reconcile (JAX, Xero's AI): once it's on, JAX looks at new bank lines as they come in and reconciles the ones that meet its "high-confidence" criteria. Each one gets a label: Rule, Match, Memory or Prediction. You can hover over the label to see JAX's reasoning. When you fix a mistake, Xero says JAX learns from it.
- Who can switch it on: the subscriber or someone with the administrator role.
- Plans (NZ and AU): Xero says automatic bank reconciliation by JAX is "Available on Grow plan and above. Optional add on for the Ignite plan." It names the add-on AI Automate. That means the Grow plan and above. Check your plan in Xero. We don't list prices.
- If you drop the add-on: Xero says "you'll still be able to see the reconciled transactions. However JAX will stop reconciling transactions automatically" (Xero's AU help page).
- Invoice reminders: emails go out for invoices marked as sent, to customers with a current email address in Xero, up to five reminders.
- Claude connector: read-only. Xero says "Claude can look at your data and answer questions but can't edit invoices, post transactions, or change anything in your books".
Tip: Most of the 'AI' is in the reconciling. The reminders are good old automation, and they still save you the awkward phone call. More on chasing payments: reminders.
What the law still puts on you
AI doesn't change the rules. If the tax department asks, it's your business that has to show the records.
Sources: Inland Revenue, Record keeping (opens in a new tab) and Computer record keeping for audit (opens in a new tab); ATO, Overview of record-keeping rules for business (opens in a new tab); Tax Practitioners Board, BAS agent registration (opens in a new tab) and BAS services (opens in a new tab). Checked 26 Oct 2026.
- NZ: Inland Revenue says: "Keep all your records (including those in electronic form) for at least 7 tax years." Records "must be in English or Māori, unless you get approval from us to use another language", and "If we audit you, we'll check these records." Computer records "must be retrievable and readable at all times".
- NZ, records in the cloud: Inland Revenue says: "If you store your records off-shore (including cloud computing), make sure either you or your cloud service provider has our approval." Our advice: check with your accountant or your app's support whether that approval is in place.
- AU: the ATO says to keep most records for 5 years. The information mustn't be changed, and you must be able to show the ATO your records if asked. The ATO also says companies have ASIC record-keeping rules of their own.
- AU, paying someone to do your BAS: the Tax Practitioners Board says: "You, your company or partnership must be registered with us to provide BAS services for a fee or other reward." It also says: "There are significant civil penalties for anyone providing BAS services for a fee or reward, or advertising BAS services, while unregistered." Plain version: if you pay someone to do your BAS, they must be registered with the TPB, so check the TPB Register before you hire them. An AI app isn't a registered BAS agent.
- AU, plain data entry is different: the TPB lists "Performing data entry for clients through processes that do not require the interpretation or application of a taxation law and/or BAS provision" as not a BAS service. Plain version: keying in or matching lines is bookkeeping. Working out the GST and lodging the BAS is BAS work.
- Practical upshot (our advice): keep the receipts and invoices themselves attached in your accounting app, not just the AI's summary of them.
⚠️ Don't let any AI tool delete or 'tidy up' old records. Keeping them is the law, and in AU the ATO says records mustn't be changed.
So do I still need a bookkeeper?
This part is our advice, not a rule.
- You can probably do more yourself if you're a sole trader with one business bank account, few cash jobs and simple GST.
- Keep a bookkeeper or accountant if you have staff and payroll, more than one bank account or business, lots of part-payments, or GST that isn't straightforward. Also keep one if you're behind.
- Best of both: ask your bookkeeper whether they'd check JAX's work weekly instead of doing every line by hand. AI can take some of the clicking off their plate (and yours).
The 15-minute weekly check
Our advice, built on Xero's help page for automatic bank reconciliation.
- Open each bank account in Xero and click Review reconciled.
- Filter by Prediction first. Xero shows the method on each line. Our advice: these need the hardest look, because they're guesses based on other businesses.
- Check the account code and tax rate on anything that looks off and fix it on that screen.
- Wrong invoice matched? Use Remove & Redo.
- Look at the invoices list: are the reminders going out?
- Write down anything you're unsure about for your accountant.
Copy this prompt and fill in the [square brackets]:
I'm a tradie in [New Zealand / Australia] using Xero. Explain in plain English what this bank line probably is and which kind of expense it might be. Don't tell me the GST treatment for certain. List the questions I should ask my accountant instead. Bank line: [paste the date, amount and description, no account numbers]
Tip: Don't paste bank account numbers, IRD/TFN numbers or customer details into a chat AI. See Is ChatGPT safe for business data? and how to check AI answers.
Where to start
Start with the safest step: turn on invoice reminders in Xero.

FAQ
Can AI do my bookkeeping for me?
Some of it. In Xero, JAX can reconcile bank lines it's confident about and reminders can chase late payers. Someone still has to check the GST and take responsibility for the books.
Will AI replace my bookkeeper?
Not for most tradies. It can take some of the clicking off their plate, but it can't give tax advice or take responsibility. A good bookkeeper can check AI's work instead of keying in every line.
Is Xero's AI bookkeeping included in my plan?
In NZ and Australia, Xero says automatic bank reconciliation by JAX comes with the Grow plan and above. On Ignite you can add it with a paid add-on Xero calls AI Automate. Check your plan in Xero. We don't list prices.
Can AI file my GST return or BAS?
Don't count on it. You or your accountant still lodge it. In Australia, anyone you pay for BAS services must be registered with the Tax Practitioners Board.
How long do I have to keep records if AI is doing the books?
The same as always. Inland Revenue says at least 7 tax years in NZ. The ATO says most records for 5 years in Australia.
Is it safe to let AI into my accounts?
Start with read-only tools and one bank account. Check what each tool can change before you connect it, and don't paste tax numbers into chat apps.
