Reply to new enquiries in under 2 minutes
The tradie who replies first usually gets the job. But you can't type long emails from a roof. The trick is to write three good replies once, then let AI tweak them for each enquiry in seconds.
What you'll need
- Your phone with a free AI app
- A notes app to store your templates
- Your usual reply times (e.g. 'I reply by 6pm the same day')
Step 1: Write your three base templates
Most enquiries fall into three buckets. Ask AI to write a starting version of each, then edit them until they sound like you.
Copy this prompt and fill in the [square brackets]:
I'm a [trade] in [town, NZ/AU]. Write three short reply templates for customer enquiries, in friendly NZ English, under 80 words each: 1. "Happy to come and look" — offer two time slots: [slot A] and [slot B] 2. "Ballpark price" — give a price range of [range], explain what changes the price, offer a proper quote 3. "Not for us" — politely decline and suggest they try [referral or 'another local tradie'] Sign off as [your first name], [business name], [phone].
Step 2: Save them where you can grab them
Paste the finished templates into a note called 'Replies'. On iPhone and Android you can also set text shortcuts (e.g. typing 'zz1' expands to template 1).
Step 3: Personalise each reply in 30 seconds
When an enquiry comes in, copy the customer's message and paste it into your AI app with this:
Copy this prompt and fill in the [square brackets]:
Here's a customer enquiry and my template. Personalise the template to answer their actual question in 2–4 sentences. Don't promise anything not in the template. Don't add prices I haven't given. Enquiry: [paste] Template: [paste]
Step 4: Check and send
Read it once. Fix anything that's not quite right — especially days, times and prices — then send from your normal email or text app.
Step 5: Log the lead
Add a line to your enquiry list or job app: name, suburb, job type, date replied. This is what stops leads slipping through the cracks.
