Tutorial 12 · 10 min read · Uses Google Calendar appointment schedules, Calendly or your job app's booking feature + any AI app

Let customers book a site visit without phone tag

Every time you're up a ladder and miss a call, there's a chance that customer rings the next tradie. A simple booking link lets people pick a quote-visit time themselves — no phone tag.

What you'll need

  • A calendar you keep up to date
  • A booking tool: Google Calendar appointment schedules (check your plan includes it), Calendly, or your job app's booking feature (check per app)
  • Your enquiry reply templates

Step 1: Decide what can be booked

Quote visits only. Urgent callouts (burst pipe, no power) should still ring you.

Step 2: Choose a booking tool

If you already use Google Calendar, try its appointment schedules first. Calendly is a popular standalone option. If you use a job app, check whether it has online booking built in before adding another tool.

Step 3: Set your rules

Keep it tight so the calendar stays workable:

  • Visit windows, e.g. 7:30–8:30am and 3:30–5pm only
  • A buffer between visits for travel (20–30 minutes)
  • The suburbs you cover
  • Minimum notice (e.g. 24 hours)
  • A limit on visits per day

Step 4: Write the booking-page wording with AI

Copy this prompt and fill in the [square brackets]:

Write a short booking-page description for a [trade] in [town] offering free 30-min quote visits. Say which suburbs we cover, that urgent jobs should call instead, and what customers should have ready (photos, access info). Plain NZ English, under 80 words.

Step 5: Add screening questions

A few questions save wasted trips:

Copy this prompt and fill in the [square brackets]:

Write 3 questions to ask on the booking form so I can tell before the visit whether the job is worth quoting.

Step 7 (optional): Log every booking

Use Zapier or Make to copy each new booking into a Google Sheet or your job app, so all leads live in one list.
