Want AI set up for you? Here's how to do it without getting burned
You've heard AI can answer enquiries, write quotes and chase invoices. But you'd rather be on the tools than watching YouTube videos to set it up. Fair enough.
You've got two options: set up the simple bits yourself in an afternoon, or get someone to do it for you. Both can work. This page helps you work out which one suits you, what to ask anyone who offers to help, the warning signs to watch for, and what a sensible first week looks like.
Not sure where to start? The free 6-question quiz gives you a starter plan in two minutes.
DIY vs done-for-you: what each actually looks like
DIY (do it yourself) suits you if you're fine with phone apps and have a spare afternoon.
- Install a free AI assistant (ChatGPT, Claude, Gemini or Grok Bot) on your phone. Want a 15-minute-a-day beginner plan? See Never used AI? Your first week.
- Save 3–5 prompts you'll use every week (see the prompt library).
- Turn on the AI or reminder features already in the apps you use (your job app, Xero/MYOB, Google Calendar).
- Optional later: one simple automation, e.g. a review request after an invoice is paid (Zapier).
- Time: a few hours to start, then 10 minutes a week tweaking. Risk: low. Nothing runs without you.
Done-for-you suits you if you're "mostly phone", time-poor, or want things joined up (calls → enquiries → job app → invoices).
- A helper looks at how you work now, then sets up tools and connects them.
- Typical jobs: missed-call text-back, after-hours replies, enquiry forms into your job app, quote and invoice follow-ups, review requests.
- They should train you and hand over logins you own.
- Time: a short call or two, then they do the work. Risk: depends on the helper, hence the checklist below.
Middle ground: set up the free assistant and prompts yourself, and pay for help only with the joining-up (automations, phone or website). Often the best value.
| DIY | Middle ground | Done-for-you | |
|---|---|---|---|
| Good for | Fine with phone apps, has a spare afternoon | Happy to do the basics, wants help joining things up | Mostly phone, time-poor, wants calls, enquiries, job app and invoices joined up |
| Your time | A few hours to start, then 10 minutes a week | A few hours for the basics, plus a call or two with a helper | A short call or two, then they do the work |
| What you control | Everything. Nothing runs without you | Your assistant and prompts; logins for anything they set up should be yours | Should still be everything: logins in your name, costs in writing |
| Main risk | Low. Mostly your time | Depends on the helper (use the checklist below) | Depends on the helper (use the checklist below) |

Start with one problem, not "AI for everything"
- Pick your single biggest headache: missed calls, after-hours enquiries, quoting, reminders, reviews or paperwork.
- Write down what "fixed" looks like (e.g. "every missed call gets a text back within 5 minutes").
- Give that to the helper, or use it as your own DIY goal.
- Fix one thing, live with it for 2–4 weeks, then add the next.
12 questions to ask any setup helper
Print it, or email it to yourself, and take it to any first call.
- ☐ What exactly will you set up? Can I have it in writing, item by item?
- ☐ Which tools or apps will it use, and do I already have any of them?
- ☐ Who owns the accounts and logins? (Answer should be: you.)
- ☐ What will it cost me each month *after* setup, for each tool, and who bills me for each? (Get it in writing.)
- ☐ Is there a lock-in or minimum term? How do I cancel, and what happens to my setup if I do?
- ☐ Where is my customer data stored, and who can see it?
- ☐ Will any AI talk to my customers directly? Will it say it's an automated assistant?
- ☐ Can I approve messages before they go out, at least at the start?
- ☐ How will you train me, and is there a written "how to" I can keep?
- ☐ What support do I get after it goes live, and how fast do you respond?
- ☐ Can you show me something similar you've set up for another trade business (with their OK)?
- ☐ What will you need from me, and how much of my time?
⚠️ Red flags (walk away or slow down)
- They want to own or "manage" your accounts and won't give you the logins.
- Pressure to sign today, or "spots filling fast" urgency.
- Vague scope ("we'll AI-power your business") with nothing in writing.
- Guarantees of a set number of jobs, leads or revenue.
- Long lock-in contracts with unclear cancellation, or your setup gets switched off if you leave.
- They ask for your bank, IRD/ATO or Xero/MYOB *admin* passwords by text or email. (Use invites and user permissions instead.)
- An AI that answers your phone or messages pretending to be a person.
- No mention of privacy, or they can't say where your customer data goes.
- They want to replace software you're happy with when you only asked to fix one problem.
Our standard: anyone we introduce you to should meet these same bars: you own the logins, scope and ongoing costs in writing, no pressure or guarantees, a clear way to cancel, and straight answers on privacy. If they don't, walk away, and please tell us.
Privacy and data questions (NZ & AU)
- You're responsible for your customers' personal information, even when a helper or app handles it. NZ: Privacy Act 2020 (verify). AU: Privacy Act 1988 and the APPs. Small-business exemptions and thresholds apply (verify).
- Ask: what data is collected (names, numbers, call recordings, messages)? Where is it stored (country)? Who can access it? Is it used to train AI models? How do I delete it if I leave?
- Call recording: tell callers if calls are recorded or answered by AI. Rules differ between NZ and AU states (verify).
- Keep sensitive details (bank, health, ID numbers) out of AI chats. See safe AI habits and what's safe to paste into AI.
- Get a simple written note of what data goes where. A good helper will give you one without being asked.
A realistic first-week setup checklist
Works for DIY or done-for-you. Tick it off together with your helper. Want to try AI yourself first, 15 minutes a day? See Never used AI? Your first week.
- ☐ Day 1: Pick and measure. Choose one problem. Note how many missed calls, unanswered enquiries or unsent quotes you had last week.
- ☐ Day 2: Accounts. Set up or confirm the accounts in your name: AI assistant, email, job app, accounting. Turn on two-step login.
- ☐ Day 3: Basics. Save 3–5 prompts. Set an away message / missed-call text in your own words (after-hours enquiries).
- ☐ Day 4: One connection. Connect one thing (e.g. enquiry form → job app, or paid invoice → review request). Test it with your own phone and email.
- ☐ Day 5: Approve-first mode. Anything that messages customers stays in "draft, I approve" mode this week.
- ☐ Day 6: Write it down. One page: what's set up, logins (stored safely), monthly costs, who to call if it breaks, how to switch it off.
- ☐ Day 7: Review. Compare with Day 1. Keep, tweak or switch off. Only then add the next thing.

FAQ
Do I need to pay someone to set up AI for my business?
No. Most tradies can set up a free AI assistant and a few saved prompts themselves in an afternoon. Paid help makes most sense for joining things up: phones, enquiry forms, job apps and invoices.
What should a setup helper actually do?
Agree one problem to fix, set up tools in accounts you own, test them, train you, and give you a one-page summary of what's set up and what it costs each month.
Who should own the accounts and logins?
You. Always. Helpers can be added as users and removed later.
Is it safe to let AI answer my customers?
It can be, if it says it's an automated assistant, you can see every conversation, and you start in "approve before sending" mode. Keep sensitive details out of it.
What about my customers' privacy?
You're still responsible for their information. Ask any helper where data is stored, who can see it and how to delete it (NZ Privacy Act 2020 / AU Privacy Act (verify)).
How does TradeAI Hub's "get set up" service work?
You tell us what you need, and we put you in touch with someone who sets up AI tools for tradies. It's free to ask, there's no obligation, and any quote comes directly from them. We may earn a referral fee if you use a setup helper we introduce you to. It doesn't change what you pay us (nothing). Ask the helper for their full price in writing before you agree. See our affiliate disclosure.
Do you check the setup helpers?
We don't make promises about any helper. Use the 12 questions and red flags on this page with anyone, including someone we introduce you to. Anyone we introduce should meet those bars, and if they don't, tell us.
