What AI is good at
- Tidying scribbled or voice notes into clear line items.
- Writing a friendly cover message and clear inclusions/exclusions.
- Keeping a consistent format across every quote.
- Spotting gaps in your notes — it can list 'questions to check' before you send.
What you still do
- Set your prices and check every number. AI can make maths mistakes and doesn't know your supplier costs.
- Send the final quote from your accounting or quoting software (Xero, MYOB, Tradify, Fergus, ServiceM8 and so on).
A 10-minute quoting routine
- On site: record a 1-minute voice note covering the job, measurements, materials and access.
- Back in the ute: paste the voice note text into ChatGPT, Claude or Gemini with your saved quote prompt.
- Check the line items and totals against your price list.
- Copy the scope and exclusions into your quoting software and add the line items there.
- Send it the same day — quick quotes win more jobs.
Build a price list once, save hours every week
- Write your common items in a note: call-out fee, hourly rate, standard fittings, disposal, travel.
- Paste that list in with your notes and tell the AI 'use only these prices'.
- Update it whenever supplier prices change — it takes two minutes.
Quote checklist before you hit send
- Customer name and job address correct (added in your own software, not the AI).
- GST shown the way you normally show it.
- Exclusions written down (e.g. 'electrical reconnection by others').
- How long the quote is valid for.
- A clear next step: 'Reply YES to book' or 'Call me on…'.
