Tutorial 31 · 10 min read · Works with Tradify, ServiceM8 or Xero (features vary by plan; checked 19 Oct 2026)
How AI can help your trade business: the first 4 admin jobs to hand over
You don't need a new app to start using AI. If you already run Tradify, ServiceM8 or Xero, some AI is probably already in there. Some of the best time-savers aren't AI at all, just switches you haven't turned on yet. This page covers the four admin jobs worth handing over first, where each one lives in your app, what you should keep doing yourself, and a 15-minute setup for each. Do one a week. No rush.
Never used AI at all? Start with Your first week, 15 minutes a day, then come back here.

What you'll need
- Your login for Tradify, ServiceM8 or Xero (owner or admin access helps)
- 15 minutes per job, one job at a time
- Your own prices, payment terms and wording. AI never sets these
Why these four jobs
These are the admin jobs tradies have been asking about most, in roughly the order we'd start them.
- Chasing quotes and unpaid invoices. The lowest-risk place to start.
- Replying to enquiries and missed calls. Lots of tradies are wary of phone bots, so we start with written replies.
- Quote drafts. "How do I use AI for quotes?" keeps coming up in NZ and Australia.
- Bills, receipts and bank matching. Xero's auto-reconcile is getting attention, and NZ bookkeepers are urging caution.
- Not in the four: job notes and scheduling. They're covered in first-week Day 5 and Plan tomorrow's jobs.
Job 1: Chasing quotes and unpaid invoices (start here, lowest risk)
Hand over: the polite reminder emails and texts after a quote or invoice goes out. Mostly these are switches, not AI. AI just helps with the wording.
Where it lives:
- Xero: invoice reminders (not AI). Sales → Invoices → "Invoice Reminders: Off" → tick "Email customers when an invoice is…". Connect your bank so reminders stop when payment arrives. Plan: check your plan. Source: Xero Central guide "Get your invoices paid faster". Checked 19 Oct 2026.
- Xero: JAX (Xero's AI chat, still in beta) can create, edit and send invoices and quotes when you ask it. It won't chase on its own. Xero says JAX is available to all subscribers, for admin and standard user roles, with currently no additional charge. Sources: About JAX (BETA) (opens in a new tab), Xero JAX FAQ (opens in a new tab). Checked 19 Oct 2026.
- ServiceM8: Quote Follow Up automation. Settings → ServiceM8 Add-ons → activate Automation, then Settings → Automation → Quote Follow Up → Edit. Up to 5 follow-ups by email and/or SMS. The Smart Assistant can draft the template. ServiceM8 says Automation is available on all plans; texts use SMS credits. Source: ServiceM8 Help "Quote Follow Up Automation". Checked 19 Oct 2026.
- ServiceM8: Payment Follow Up automation works the same way for overdue invoices. Path and plan: check your plan.
- ServiceM8: Office Agent (AI) can find outstanding quotes and overdue invoices and prepare follow-ups and payment reminders for you to approve. Office Agent Standard is included on current Starter, Growing, Premium and Premium Plus plans (not Free). Scheduled tasks need Office Agent Pro, a paid add-on. Source: ServiceM8 Help "Introducing Office Agent" and "Office Agent plans and daily usage". Checked 19 Oct 2026.
- Tradify: Quote & Invoice Reminders (not AI). On Tradify's NZ pricing page these are on the Pro plan and above (not Lite). Quote reminders: Settings → Quotes → Email Reminders → Send email reminders. Invoice reminders: Settings → Invoices → Payment Reminders. Sources: Tradify NZ pricing (opens in a new tab), Turn on Quote Reminders (opens in a new tab), Set up invoice payment reminders (opens in a new tab). Checked 19 Oct 2026.
- Keep doing yourself: your payment terms; who gets left off (customers on a payment plan, disputes); the phone call once a reminder's been ignored; anything about late fees or debt collection.
- 15-minute setup: (1) Pick one app. If Xero sends your invoices, use Xero reminders, and don't run reminders in two apps at once. (2) Turn reminders on: one just after the due date, one at 7 days, one at 14 days. Then pick up the phone. (3) Rewrite the default message in your own voice. Use the app's AI helper if it has one, or the prompt in Turn on invoice reminders in Xero. Keep the placeholders. (4) Do the same for quote follow-ups: Automate quote follow-ups. (5) Check the overdue list in a fortnight. More: Reminders.
⚠️ Switch reminders off for anyone on a payment plan or in a dispute before you turn them on.
Job 2: Replying to enquiries (emails, texts, web forms, missed calls)
Hand over: the first draft of replies, and sorting what's come in. Written replies first. A phone bot is a later, optional step.
Where it lives:
- ServiceM8: Smart Writing Helper. Writing tools for emails and SMS, plus suggested replies to client messages, which land in ServiceM8 Inbox. Which plans include it and any daily limits: check your plan.
- ServiceM8: Office Agent reads and summarises ServiceM8 Inbox messages and prepares replies for you to approve. Starter plan and up (see Job 1). Checked 19 Oct 2026.
- ServiceM8: Phone Agent (AI receptionist). Business Hours, After Hours and Voicemail modes. Takes messages into the Inbox and can text a booking-form link. It's an add-on for ServiceM8 Phone on the Connect Plus and Unlimited plans, and ServiceM8 suggests starting with one mode, for example After Hours. Optional and later. Source: Introducing the ServiceM8 Phone Agent (opens in a new tab). Checked 19 Oct 2026. Before you try one, read AI receptionist or voicemail?.
- Tradify: Enquiry Form & Email Inbox brings enquiries into Tradify (not AI). Pro plan and above on the NZ pricing page. SmartWrite (Plus plan) improves wording, with options like Improve and Change Tone, on documents, jobs and email templates. Whether it works on an individual enquiry reply: check your plan. Source: Tradify NZ pricing (opens in a new tab) and Tradify Help SmartWrite articles. Checked 19 Oct 2026.
- Xero: not an enquiry tool. Skip it for this job.
- Keep doing yourself: prices and ballparks; start dates and promises; saying no; emergencies (phone them); complaints. Read every reply before it sends. No auto-send.
- 15-minute setup: (1) Write (or get AI to write) three standard replies: "happy to come and look", "rough price, needs a visit", "not a job we do". Save them as templates in your app. (2) ServiceM8: open one real enquiry, try the writing helper or a suggested reply, edit it, send. Tradify Plus: write a rough reply in an email template, then run SmartWrite → Improve. (3) Set your away and voicemail wording so people know when you'll call back: After-hours enquiries, Missed calls. (4) Only after a few weeks: consider an AI phone agent, trialled on after-hours calls only. More: Reply to new enquiries, Inbox & leads, Messenger inbox with AI.
⚠️ Never let an AI reply give a price, a start date or a yes to the job. You do that.
Job 3: Quote drafts (descriptions and line items)
Hand over: typing up the description of work and laying out the line items. You set every price.
Where it lives:
- ServiceM8: Auto-Quote / Auto-Invoice. On the job card: Billing → Billing Workflow → Auto Quote (online), or Billing → Start Auto Quote (app). It drafts a description and materials and labour from the job card and similar past jobs, and you choose whether to apply it. ServiceM8 says you generally need about 100 completed jobs before it gives reasonable results, and that it's available on all plans. Source: ServiceM8 Help "How to use Auto-Quote and Auto-Invoice". Checked 19 Oct 2026.
- Tradify: SmartWrite Description (Plus plan). Open a quote, add 2 or more line items, then SmartWrite dropdown → SmartWrite Description → review → Insert. It writes the description from your line items, so you price first. Source: Tradify Help "Use SmartWrite to write your quote/invoice description". Checked 19 Oct 2026.
- Xero: JAX. Ask it in the chat panel to create, edit and send a quote, for example "Create a quote for [contact] for [item] at [your price]". It works on the web and in the Xero app, and JAX actions show in the quote's history and notes. What it can do depends on your plan and user role, so check your plan. Source: About JAX (BETA) (opens in a new tab). Checked 19 Oct 2026.
- Keep doing yourself: every price, rate, markup and margin. If an app suggests prices based on past jobs, check every one against today's supplier costs. Also scope decisions, exclusions, and the final read before sending.
- 15-minute setup: (1) Tidy your price list or items in the app first. (2) Open one real, recent quote and run the AI on it (Auto-Quote, SmartWrite Description or JAX). (3) Compare it line by line with what you'd have written. Fix it, and save it as a template if it's good. (4) Run the pre-send check before sending.
- No job app AI? Use a free chat app with your own prices: see the full guide to quoting with AI or Write a clear quote from a messy job note.
⚠️ AI that learns from past jobs can repeat old prices. Check every figure against today's costs.
Job 4: Bills, receipts and bank matching (last, and go slowly)
Hand over: typing in supplier bills from photos, and matching bank lines to invoices and bills (that's "bank reconciliation"). Every match still gets reviewed.
Where it lives:
- Xero: automatic bank reconciliation powered by JAX. It only reconciles when confidence is high, leaves the rest for you, and only works on bank lines imported after you turn it on. You can try it in the demo company first. On Xero's NZ site it's on the Grow, Comprehensive and Ultimate plans, and Ignite can get it with the paid AI Automate add-on. Sources: Xero NZ bank reconciliation (opens in a new tab), How to use automatic bank reconciliation (opens in a new tab). Checked 19 Oct 2026. Full walkthrough: Turn on Xero JAX auto-reconcile safely.
- Xero: bill and receipt capture. Xero's NZ plans page lists smart document capture on every plan, with "basic extraction" on Ignite and Grow. What it pulls out on your plan: check your plan. Source: Xero NZ plans (opens in a new tab). Checked 19 Oct 2026.
- Tradify: SmartRead for Bills (Plus plan). Snap a photo of a supplier bill and it pulls out the details. Source: Tradify NZ pricing (opens in a new tab) and Tradify Help SmartRead articles. Checked 19 Oct 2026.
- ServiceM8: Supplier Invoice Import add-on. Plan availability, and whether it uses AI: check your plan.
- Keep doing yourself: GST coding and what's deductible (ask your accountant or bookkeeper); reviewing every auto-match; anything unusual (refunds, cash jobs, personal spending).
- 15-minute setup: (1) Xero users: try auto-reconcile in the demo company first. (2) Then turn it on for one clean, everyday bank account only, and keep your bank rules. (3) Once a week, review what JAX reconciled and correct anything wrong. (4) Tradify Plus: SmartRead the next 5 supplier bills, checking each against the paper bill. (5) Tell your bookkeeper or accountant you've switched it on. More: Turn invoices and receipts into tidy records, Paperwork.
- Rather someone switched these on with you? Get this set up for me, or weigh up DIY vs done-for-you.
⚠️ Some NZ bookkeepers tell clients to hold off on auto-reconcile. If you have a bookkeeper, ask them first.

Use it safely
- Turn off anything that sends without you checking.
- Prices, GST coding, safety and compliance stay with you.
- Xero says JAX data isn't used to train large language models (Xero JAX FAQ (opens in a new tab), checked 19 Oct 2026). For chat apps outside your job app, see Is ChatGPT safe for business data? and Safe AI habits.
- One job at a time. Don't switch on all four in one night.
FAQ
How can AI help a tradie business in NZ?
Mostly with admin: chasing payments, replying to enquiries, drafting quotes and matching bills. Start with the AI already in Tradify, ServiceM8 or Xero before buying anything new.
Do I need to buy a new AI tool?
Usually not to start. Check what's in your current app and plan first. Some of the biggest time-savers, like invoice reminders, aren't AI at all.
What is Xero JAX?
It's Xero's AI assistant, still in beta, and Xero says there's currently no additional charge for it. You ask it in plain words. It can create and send invoices and quotes, answer questions about your numbers and, on some plans, reconcile your bank automatically. You still check its work. (Checked 19 Oct 2026.)
Should I turn on Xero's auto bank reconciliation?
Try it in the demo company first, then on one everyday account, and review every match weekly. If you've got a bookkeeper, ask them first. See Turn on Xero JAX auto-reconcile safely.
Will the AI in ServiceM8 or Tradify set my prices?
It shouldn't. Tradify's SmartWrite writes descriptions from line items you've already priced. ServiceM8's Auto-Quote suggests items from past jobs, so check every price against today's costs.
Is an AI receptionist worth it?
Get written replies and your voicemail sorted first. If you want to try one, ServiceM8 itself suggests starting its Phone Agent with one mode, such as after hours. See AI receptionist or voicemail? and Missed calls.
I've never used AI. Is this page for me?
Start with Your first week, 15 minutes a day. This page is for when you're ready to use the AI inside your business apps.
